Call Tracking for Contractors: How It Works, What It Costs and How to Set It Up

Short answer

Call tracking gives each marketing source its own phone number, so you can see which ads, keywords and pages produce calls, which calls were answered, and which became jobs. For most contractors it costs a tool subscription of roughly $45 to $50 a month plus a one-time setup, and it is the single most useful tracking upgrade because the phone is where most contractor leads happen.

If you run Google Ads, Local Services Ads or SEO for a trade business, most of your leads arrive as phone calls. Website analytics cannot see a phone call, which is why a campaign can look quiet in reports while the phone rings. This guide explains how call tracking works, the options, what it costs and how to set it up without breaking anything else.

What call tracking is

Call tracking uses a pool of phone numbers that forward to your real number. Each number is assigned to a source, such as Google Ads, your Google Business Profile or organic search. When someone calls, the system records where the caller came from, how long the call lasted and, if you turn it on, a recording. The caller still reaches the same business line.

Two methods are common. Static numbers give one fixed number to each channel, for example one for a print ad. Dynamic number insertion swaps the number shown on your website based on how the visitor arrived, so a person who clicked a Google ad sees a different number from someone who found you through organic search. It can also tie the call to a keyword and a page.

Why contractors need it

  • Most leads are calls. Emergency and repair searchers usually phone straight from the results page or the website.
  • Platforms report clicks, not jobs. Without call data, an ad that sends tyre-kickers looks the same as one that sends booked jobs.
  • Missed calls are lost jobs. Tracking shows how many calls went unanswered and when, which is often the cheapest improvement available.
  • Bidding needs real signals. Google Ads can optimise toward calls that were long enough to be real when those calls are measured. See Google Ads conversion tracking setup.

Your options

Common ways to track calls

Google forwarding numbers (call assets and call reporting)Counting calls that come from your Google Ads, with a minimum call lengthCovers Google Ads only, with little detail about the caller's journey on your site
A call tracking platform such as CallRailTracking calls from ads, organic search, your profile and your website, with recordings and reportsA monthly subscription, and it needs careful setup so numbers stay consistent

Most contractors with more than one channel end up with a call tracking platform, and use the built-in reports from Google for the pieces the platform does not see. For a comparison of the lead channels themselves, see Local Services Ads and Google Ads management.

What to track on each call

  • Source and keyword. Which campaign, search term or page produced the call.
  • Answered or missed. And whether it came during business hours or after.
  • Call length. Very short calls are often wrong numbers or hang-ups. Google Ads lets you set a minimum length before a call counts as a conversion, and 60 seconds is the common default.
  • First-time or repeat caller. So repeat callers do not inflate lead counts.
  • The outcome. Whether the call became an estimate or a booked job. This is the number that matters, and it is usually added by tagging the call afterwards.

How to set it up

  1. Decide which sources need a number

At least Google Ads, organic search and your Google Business Profile. Add Local Services Ads and any print or direct mail separately.

  2. Choose a tool and buy local numbers

Use numbers with the area code of the towns you serve, which look trustworthy to callers.

  3. Install dynamic number insertion on the website

The tool gives you a script, ideally added through Google Tag Manager. It swaps the visible number and the click-to-call link on every page.

  4. Keep your main number consistent

Your real business number should remain the primary number on your Google Business Profile and in citations, so listings stay consistent. Tracking numbers belong on the profile only as additional numbers, if at all.

  5. Connect it to Google Ads and GA4

Import calls as conversions with a minimum length, and send call events to GA4 so reports show phone calls next to forms. The GA4 conversion tracking guide covers the analytics side.

  6. Test every number

Click through from an ad and from a search result, and check the number changes, the call forwards and the call appears in the dashboard with the right source.

  7. Review calls every month

Listen to a sample of calls, tag the outcome and look at missed calls by hour. This is where most of the value is found.

What call tracking costs

  • The tool. Call tracking platforms for a small business are usually priced from roughly $45 to $50 a month for a small plan, with extra numbers and call minutes costing more. Check the provider's current pricing. The subscription is billed to you directly.
  • Setup. Installing the numbers, number swapping and conversion tracking takes a few hours when done carefully. On this site it is a $65 add-on to Tracking Essentials at $375, and it is included in the $495 Full Measurement Stack.
  • Ongoing checks. Tracking breaks quietly when sites are edited. A monthly check is $149 a month as Tracking Care, or you can do it yourself with the checklist below.

Mistakes to avoid

  • Changing your main number everywhere. Inconsistent numbers across listings can confuse local rankings.
  • Counting every call as a lead. Spam, wrong numbers and existing customers are not new leads. Set a minimum length and tag outcomes.
  • Forgetting call recording rules. Some US states and Canadian jurisdictions require everyone on a call to be told it is being recorded. Use the recording announcement your tool offers and check the rules where you operate. This is not legal advice.
  • Ignoring text and form leads. Phone calls are only part of the picture, so track forms and click-to-text as well.
  • Letting someone else own the account. Your tracking numbers and call recordings should sit in an account you own.
  • Setting it up once and never checking. A site update, a new plugin or a cookie banner change can stop number swapping. If you use a consent banner, check how your tool behaves when a visitor declines cookies.

A quick check you can do today

Call your own tracking number from a phone, after clicking your ad, and look in the dashboard. If the call is missing, has no source, or the page still shows your main number, tracking is not working. For the full list of checks, use the free HVAC Google Ads tracking checklist, which applies to any trade.

If you would rather have it set up and checked for you, see conversion tracking and the tracking prices, or book a free call.

Frequently asked questions

What is call tracking?
Call tracking assigns different phone numbers to different marketing sources and forwards every call to your real number, so you can see where each caller came from, how long they talked and whether the call was answered.
How much does call tracking cost for a small contractor?
Tools aimed at small businesses typically start at roughly $45 to $50 a month, with higher plans for more numbers and minutes, so check current pricing. A one-time setup is also needed to install number swapping and connect conversions.
Will a tracking number hurt my local SEO?
It can if it replaces your main number in listings. Keep your real number as the primary number on your Google Business Profile and in citations, and use tracking numbers mainly on your website and ads.
Can I track phone calls from Google Ads without a paid tool?
Yes. Google Ads offers call reporting through Google forwarding numbers, which counts calls from your ads above a minimum length. It will not show calls from organic search or your profile, which is where a call tracking tool helps.
Should I record my calls?
Recordings are useful for quality checks and tagging outcomes, but some US states and Canadian jurisdictions require everyone on the call to be told. Use your tool's announcement and check the rules where you work. This is not legal advice.
Does call tracking work with Local Services Ads?
Local Services Ads have their own call reports and recordings, so they usually do not need a separate tracking number. Review them alongside your other channels.
How do I know whether tracking is still working?
Test it monthly by clicking through from an ad and from a search result, then calling the number and checking it appears in the dashboard with the right source. A monthly check is also available as Tracking Care.
